How to create a Google Workspace room calendar (for a meeting room display)

A Google Workspace room calendar is a bookable resource for a physical meeting room. Create it in the Admin console first, then connect it to a Google Calendar meeting room display such as Room Cherry on a tablet you already have.

Step by step

  1. 1. Check your admin access

    You need a Google Workspace administrator with the Buildings and resources privilege. Personal Gmail accounts cannot create room resources.

  2. 2. Add a building

    In the Admin console, go to Directory > Buildings and resources > Overview. Under Resource management, select Open, then Manage buildings > Add new building. Fill in the required fields first. The address is optional; Google says it is not used for map navigation.

  3. 3. Add room features if useful

    Optionally go to Manage resource features > Add Feature and add labels such as “Videoconferencing” or “Wheelchair accessible.” Google says features cannot be added by CSV.

  4. 4. Add the room resource

    In Resource management, select Add, choose the type “Conference room,” then choose the building and enter the floor and capacity. Select Add Resources.

  5. 5. Wait for the room to appear

    Google says new resources usually appear within a few minutes, but they can take up to 24 hours to show in everyone’s calendar.

  6. 6. Use CSV for many rooms

    For a bulk update, download the resources CSV, edit it in Google Sheets, and upload it again. Do not change the resource ID: Google will create a new resource if you do.

  7. 7. Put the room on the wall

    Start a Room Cherry trial — 30 days free, no card — and connect Google Calendar with the same Google Workspace account. When the room appears in the dashboard, switch it on. Choose Set up iPad, then open roomcherry.com/go on the tablet and enter the 6-character code. You can also choose Show QR on the room card and scan it to open that room’s display link. This works in a browser on an iPad, Android or Amazon Fire tablet, or a Chromebook.

Questions

Can I use a personal Gmail calendar as a room?

Room resources are a Google Workspace feature. A shared secondary calendar can be a workaround, but it is not a room resource.

How long until the room shows up?

Google says resources usually appear within a few minutes, but they can take up to 24 hours to show in everyone’s calendar.

Do I need special hardware?

No. Use a browser on a tablet or Chromebook you already have.
